When does registration close: July 8, 2025
Who can register to participate: Anyone affiliated with a university or a similar institution, and has an email address that reflects that; if you register as a student, you must provide proof that you are a student; if you have been officially invited by the ICBS, you do not have to register separately
How much is the registration fee: 5000RMB for a non-student, 3000RMB for a student
What does the fee cover: Access to all conference lectures, lunch and refreshment, and academic activities that have no capacity limitations
What does the fee not cover: Any academic activity that is “by-invitation only”
Will you get an official receipt of fapiao for the fee: Yes
How can I get an official invitation letter for participation: After you have registered and pay your fees, BIMSA will send you an official invitation letter.
When will you get your receipt: Within 3 months after the conference
Can you get a refund for the fee if you change your mind: Yes, but only if a request for refund is received before May 31
What hotel can you book for the conference as a self-registered participant: A list of hotels near BIMSA with discount rates can be found in Logistics->Accommodation.
What hotel will you stay in if you are an invited participant: Our staff will book your hotel for you, if you provide us with your itinerary on your ICBS account. A hotel confirmation will be sent to you shortly before the conference.

4. Special Channel at the Chinese Immigration and Customs
This notice is for all "invited guests or speakers" of the ICBS flying to Beijing from a foreign country. We have made special arrangements with the Chinese Immigration and Customs authorities to help expedite your clearance at the immigration at PEK or PKX. To use this expedited process, please follow the following instructions.
a) You must upload your passport photo page or ID card to your ICBS account, as requested. You must provide your latest arrival flight info there as well. We will then issue special document called "通关便利" or "Special Channel Pass", which you can download from your ICBS account on the Flights+hotel page, and bring a hard copy with you. This will be available by July 1, provided we have your complete information.
b) After de-boarding, as you enter the immigration/passport control area at the airport, look for a bright green sign that says "Special Channel" as in this photo, and head to that channel. You will notice that the line is a lot shorter here than at a regular channel. Look for this sign.
c) Present your passport and the Special Channel Pass to the immigration officer at that channel.
d) Once you have cleared immigration and custom, claim your luggage and head to exit of the luggage area into the arrival hall. Staffers on ICBS uniform will be meeting you at the arrival hall. They will take you to your hotel.
5. Excursions to Tourist Attractions
The ICBS will try to organize weekend excursions to famous tourist attractions in or around Beijing for our invited participatns. Details regarding sign up, and places to visit, will be announced by our logistics team at some point during the conference on this Latest Updates page. Please stay tuned.
6. Beware of email SCAMS
If you are an invited participant of the ICBS, hotel will be booked for you free of charge. Beware that there may be commercial outfits or SCAMs, pretending to be ICBS staffers, trying to contact you to book for you hotel or flights for the conference. Those outfits are unrelated to the ICBS, and we are not responsible for any risks associated with dealing with them. Please ignore them.
